Perfectly Me Living LLC is looking for an Executive Assistant to perform a variety of administrative tasks and support our companys CEO. The PM Executive Assistants responsibilities include managing the CEO's calendar, writing emails and reaching out to partners, posting jobs and screening candidates for positions, preparing and submitting invoices to clients and preparing expense reports. To be successful in this role, you should have integrity, be mission-driven with a commitment to change the world, have strong writing skills, have strong people skills, be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by freeing up our CEO as she works to grow our impact.

Responsibilities

  • Manage the CEO's calendar and schedule appointments/set up meetings
  • Help the CEO recruit and retain awesome team members for our programs in the Baltimore Region and Montgomery County
  • Write email updates to clients and families
  • Write weekly newsletters
  • Act as the point of contact clients and other external partners
  • Manage information flow in a timely and accurate manner
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain digital filing systems

Requirements

  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Excellent MS Office knowledge specifically Excel
  • Outstanding organizational and time management skills
  • Familiarity with applications/programs like Trello, Slack and Callendy
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Honesty and Integrity
  • High School degree
