You will be supported by the existing Executive Assistant/Office Manager who is moving to a new role in the organization.

Position Overview:

As the part-time Executive Assistant/Office Manager at Synergex, you will play a pivotal role in our organization's success. You will be responsible for providing support to the CEO and Senior Leadership Team, while also overseeing the day-to-day operations of our office. This position requires an individual who can anticipate needs, think critically, and offer solutions with the utmost professionalism and confidentiality.

Essential Duties and Responsibilities:

Executive Support:

  • Perform diverse administrative tasks for the executive, including scheduling meetings, reviewing, and editing correspondence, end-of-year mailings, etc.
  • Develop and maintain a understanding of corporate policies, evaluate processes, and implement changes as necessary.
  • Represent the company and the Executive in a positive manner through exceptional follow-through, sound judgment, and proactive initiative.
  • Prioritize conflicting demands and address matters promptly, proactively, and with successful completion of projects in mind.
  • Prepare expense reports, considering departmental budgets and GL coding (TBD).
  • Independently manage administrative details, allowing the CEO to focus on strategic responsibilities.
  • Assist CEO in creating company presentations.
  • Undertake projects on an as-needed basis and see through to completion.

Office/Vendor Management:

  • Manage relationships with all Synergex vendors, including contract management, price negotiations, and ongoing support.
  • Event Coordination. Coordinate and execute engaging company sponsored events, fostering a sense of unity and camaraderie within the organization. Collaborating with various departments, your role ensures seamless coordination and execution of events, ranging from but not limited to the Annual Raft Trip, EOY Holiday Party, Dev Summer BBQs, and Wellness events. You will work with internal teams, external vendors and attendees to create memorable experiences that align with the companys culture and goals.
  • Collaborate with building management to ensure the upkeep and maintenance services remain current.
  • Oversee building access using the Sonitrol security system to meet established security standards.

HR Administrative Support:

  • Participates as an adjunct member of the Human Resources Team, providing administrative support for various projects and workflows.
  • Serve as a liaison between HR, Finance, and the CEO, documenting action items and ensuring follow-up.
  • Offer administrative-level support as required, including tasks such as maintaining employee documents and workflows, managing the company org chart, etc.
  • Facilitate the annual companywide "Best Places to Work" survey to encourage maximum participation.
  • Oversee the company Anniversary Recognition program and associated documentation.
  • Manages the employee onboarding experience to ensure company standards are met.
  • Undertake HR related projects on an as-needed basis and see through to completion.

Other Duties:

Requirements

  • Strong work tenure: three to five years of experience.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, Teams, and PowerPoint.
  • Exceptional attention to detail, strong organizational and time management skills, persistence in project follow-through.
  • Effective and professional communication skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Capability to work independently as well as collaboratively within a team.
  • Flexibility in working hours as dictated by project needs, meetings, and events.
  • A proactive approach with a can-do attitude.
  • Familiarity with HR practices is a plus.
