Front Desk Administrative Assistant - Los Angeles

Responsible for attending to visitors and dealing with inquiries on the phone and face to face. Also responsible for providing administrative support across multiple departments.


 

 



The following are intended to be examples of the accountabilities for which the person in this position is responsible.   • Provide administrative support to multi departments

  • Operating a multi-line telephone system, intercom, and public address system to answer, screen and forward calls, provide accurate information, taking messages and attending to outside visitors that have scheduled appointments

  • Greeting all visitors entering establishment, determining nature and purpose of visit, ensuring the proper sign in protocols have been met and directing them to specific destinations within the facility

  • Listening clearly and respectfully; hearing and resolving all complaints from customers and public while providing a smile and being patient

  • Provide security badges to outside vendors

  • Transmitting information or documents to customers, using computer, mail, or facsimile machines

  • Addressing scheduled appointments; maintaining and updating appointment calendars

Remains aware of evolving needs and opportunities, showing flexibility in doing whatever is appropriate to support the Company’s success. Pursues educational opportunities to maintain advanced and up-to-date knowledge in the field. Performs all other related duties as required and assigned and understands that the items in this description are not all-inclusive.




Required Skills


  • Excellent interpersonal and communication skills

  • Proficiency with Microsoft Office software

  • Outstanding customer service skills with the ability to interact calmly and professionally with others

  • Ability to multitask and work in a fast-paced, team-oriented environment

  • Strong time and management skills, including ability to prioritize your day both independently and as part of a team

Required Experience


  • High School Diploma or GED equivalency minimum requirement

  • 2-4 years customer service, administrative and reception experience
