Summary

As EA to the CEO, you will be responsible for providing comprehensive, organizational and strategic support to the CEO. You will be highly organized, disciplined and motivated to keep pace with their busy schedule. You act as the gatekeeper; using discretion, confidentiality and good judgment to handle matters - discretion and confidentiality are important qualities within this role. In regards to calendar management, you prioritize enquiries and requests, making judgements and recommendations. You are extremely adaptable, you work quickly, efficiently, to tight deadlines and manage multiple stakeholder requests.

Duties

Executive Support:

  • Complete a broad variety of administrative and personal assistance tasks that help facilitate the CEOs ability to lead the organization. This includes but is not limited to: producing complex documents, reports and presentations, collecting and preparing information for meetings, composing and preparing correspondence both for internal and external purposes and processing invoices and expenses.
  • Make sure the CEO is well informed of upcoming commitments and responsibilities, following up appropriately
  • Manage all business travel arrangements, logistics in conjunction with Logistivis and the Security team, entertaining and accommodation requirements for the CEO and for the wider business when required, being mindful of potential security issues and collaborating with the Security team - book business travel, compiling itineraries and managing the schedule
  • Provide ad-hoc administrative support to members of the wider Exec team as required
  • Work closely with IOHK marketing & operations to schedule events and speaking engagements.
  • In conjunction with the Office Manager, manage expenses for the CEO utilizing the Company online system, Concur.
  • Build strong relationships with other Executive Assistant(s) and support staff across the business, sharing practices and efficient ways of working, as well as providing sufficient support where needed.

Meeting Management:

  • Management of meeting cadence and associated governance including creating agendas, scheduling meetings, distributing materials and recording meeting minutes and actions when needed
  • Arrange all meetings including but not limited to; Team meeting, meetings with external parties, regular 1:1 and appraisal meetings, and any other meetings as appropriate.
  • Build strong relationships with various internal and external stakeholders across the business to achieve the above.
  • Any other tasks or activities as and when required.

Project work:

  • Provide support to the CEO with company wide projects in line with the Company strategy.
  • Produce project plans in conjunction with the Executive, as and when required.
  • Maintain project plans and assist the CEO in tracking ongoing achievement of plans, recording key milestones.
  • Liaise with task owners on an ongoing basis to obtain status reports.
  • Support ad hoc projects as required.

Compliance:

  • Comply with compliance procedures, any applicable Regulations at all times to ensure regulatory requirements and company policies are not breached

Requirements

Key Competencies

  • Excellent proficiency, knowledge and experience of word-processing and communications technologies (Google Suite and online communication systems (Slack, Zoom etc).
  • Google docs and G-suite tools, Slack, email, inbox management, trello.
  • Excellent typing skills.
  • Must maintain confidentiality, work independently or as part of a team, prioritize and work under pressure in an organized and efficient professional manner.
  • Ability to adjust quickly to changing conditions and requirements
  • Exceptional organizational skills and attention to detail
  • Excellent communication, both verbal and written and organizational skills.
  • A proven, proactive approach to anticipating the executives needs.
  • Ability to work with staff at remote locations is required.
  • Ability to successfully manage multiple priorities simultaneously with a professional demeanor.
  • Maintain professional and positive interactions with others and be able to establish strong collaborative and professional relationships.
  • Good technical knowledge of systems and how to use / troubleshoot issues.
  • Reacts with appropriate urgency to situations and events that require quick response.
  • The ability to deal with ambiguity and work independently to achieve results with a high degree of accuracy.
  • Ability to research broad topics, summarize and condense information into themes and key takeaways.

Education / Experience

  • Demonstrable extensive experience of working at C-Level.
  • Experience of corporate and startup environments.
  • Discretion, tact, ability to maintain trust and confidentiality at all times.
  • Experience of working within a fast-paced client facing environment.
  • Extensive experience of working with Google Slides, Docs, Sheets, Mail, Calendar.
  • Experience of delivering accurate, relevant and timely information.
  • Experience of working in a remote environment of significant and fast change.
  • Excellent interpersonal and communication skills (written and verbal).
  • Excellent diary management, multi-tasking, planning and organizational skills.
  • Ability to communicate clearly and accurately with varying levels of colleagues and contacts.
  • Professional etiquette and communication, both oral and written.
  • High level of data entry and use of technology.
  • Ability to anticipate requests, solve issues as they arise, and reprioritize tasks.
  • Ability to make clear and timely decisions in complex situations.
  • Flexibility to adapt to the changing needs of the business.
  • Excellent accuracy and attention to detail.
  • Ability to work on own initiative and prioritize workload and that of others.
  • Proven ability to work under pressure, to tight deadlines with appropriate level of urgency.

Location

IOG is a distributed organization but due to team distribution, we require someone to be based in Colorado and able to work from an office.

The base salary for this position has a range of $70k up to $95k per year at the commencement of employment. Any offer is determined by overall experience and performance during the interview process. This is only part of the total compensation package.
