AGENCY: Homeless Childrens Network TITLE: Executive Assistant SCHEDULE: Full-time position, 40 hours per week BENEFITS: Health, Dental, and Vision insurance; Commuter stipend Job Description: Homeless Childrens Network is a leading provider of trauma-informed behavioral health and wellness services to Black/African American families in San Francisco. Our community-based non-profit organization provides mental health services and support to children and families who are homeless or at-risk. Reporting directly to the Executive Director, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact on all matters pertaining to the Executive Director. This is an ideal opportunity for a highly successful Executive Assistant seeking highly rewarding work. The ideal individual will have the ability to exercise good judgment in a diversity of situations, strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Responsibilities: Completes a broad variety of administrative tasks for the Executive Director including: managing an extremely active calendar of appointments; managing incoming and outgoing phone calls, composing and preparing correspondence that is sometimes confidential; creating spreadsheets and presentations; establishing and maintaining electronic and paper files, copying, faxing; completing expense reports; arranging travel plans and compiling documents for travel-related meetings. Plans, coordinates and ensures the Executive Director's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Executive Director's time and office. Communicates directly, and on behalf of the Executive Director, with Board members, donors, staff, and others, on matters related to Executive Directors programmatic initiatives. Handles Executive Directors requests and queries promptly and appropriately. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive Director, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Provides a bridge for smooth communication between the Executive Directors office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. Works closely and effectively with the Executive Director to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Executive Director updated. Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Executive Director, some of which may have organizational impact. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Executive Directors ability to effectively lead the organization. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, evaluating new office products, placing and expediting orders for supplies, verifying receipt of supplies. Performs other duties as assigned. Qualifications: Bachelor's degree (Required). Strong work tenure: 5 to 10 years of experience supporting C-Level Executives, preferably in a non-profit organization. Impeccable writing abilities; superb communication, interpersonal, and analytical skills. Proficient in all Microsoft Office platforms, all Google platforms and Adobe Acrobat. High regard for professionalism, energy and confidence. Extremely organized and motivated, able to multitask, take initiative, and manage competing time requirements.
