SUMMARY

The Coordinator, PIVOT Travel will work closely with the PIVOT Travel team to organize, file management, data entry, and assist with the overall needs of the Travel department. The ideal candidate must be very organized, have great communication skills and be proficient in Microsoft Office, Google Suite, and have some Salesforce experience.

This position has been created to help provide an entry into the travel & hospitality industry for driven and passionate individuals who otherwise may not have had previous experience within the industry. All Coordinators start on a three-month trial period, where they work closely with Travel senior leadership to learn and further develop their skill set. At the conclusion of the trial period, PIVOT Travel senior leadership will meet with the Coordinator to review success and growth over the first three months and discuss long-term growth and next steps within PIVOT.


ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Communication: Handle email correspondence, schedule meetings, and coordinate zoom calls.
  • Document preparation: Create, edit, and format documents such as reports, spreadsheets, and presentations.
  • Data entry and database management: Enter and update data in databases, spreadsheets, or CRM systems. Maintain accurate records and generate reports as needed.
  • Operations support: Audit, file, organize documents in online folders, cloud storage systems, and in the Shared Drive.
  • Project coordination: Assist with project management tasks, including tracking project progress, coordinating deadlines, and communicating with team members to ensure smooth project execution.
  • Event coordination: Help plan and organize logistics with specific events.
  • Miscellaneous tasks: Support ad-hoc requests from Travel team.
  • Business development: May assist in sales of bringing on new clients (e.g., emerging sports, such as college and youth sports).

Requirements

Required Education and Experience:

  • High School diploma required.
  • 2+ years of general administrative experience.


Qualifcations

Knowledge, Skills, Abilities

  • Skills utilizing Microsoft Office and Google Suite.
  • Excellent organizational, written, & oral communication skills.
  • Acute attention to detail and efficiency.
  • Strong interpersonal skills to manage internal and external clients.
  • Salesforce and travel-related experience preferred.

This role operates in a typical business environment working remotely from an employees home office. This role routinely uses a computer and its voice or video call capabilities. This role requires working long hours sitting and staring at a computer and talking via voice and video calls.

While performing the duties of this job, the employee is regularly required to use a laptop computer. Specific physical abilities required by this job include sitting, standing, talking and hearing both in person and over the phone and keyboarding.
