  • Summary



Provide a brief summary of the job.



 



Overview:  To manage day-to-day financial and grant production activities, including management and reconciliation of all internally- and externally-funded budgets.  These activities will be under the direction of and in coordination with the Assistant Director.  Additional responsibilities include participation as part of the production team for all CDD grant and funding submissions, including coordinating with off-site collaborators, producing drafts of non-science sections, and assisting the Assistant Director with submissions.



 



Specific Responsibilities:



Financial Management



•Manage and reconcile all CDD Banner accounts



•Create monthly executive summary reports



•When new funding is obtained, coordinate new Banner account processes from inception to account open



•Identify and complete all processes as needed for required budget adjustments



•Create a reliable budget projection system to be used by CDD management for financial planning



           



Grant and Funding Production



•Prepare digital grant applications through current NU and specific funder grant submission portals, as appropriate, as a member of the grant production team



•Create and update template grant materials for biosketches, equipment, facilities, resource sharing, etc.



•Oversee compliance with NIH grant policies, including for publications and grant-funded out-of-pocket reimbursements



•Coordinate grant writing with off-site collaborators, including organizing regular meetings of the executive and scientific advisory boards as required for any CDD grants



Provide support to Assistant Director with grant applications, including preparing digital applications through COEUS and acting as addition contact person for liaising with ORAF.  Oversee compliance with NIH public access policy, including updating publications in biosketches and grant materials for PMC and PMID numbers and training new scientists and PIs on compliance requirements.  Develop procedures and systems for the Center which provide a solid foundation for current and projected grant and financial operations.   Provide support to the Director by composing specific scientific sections of grant applications.




  • Qualifications



Provide the minimum education, experience, and skills required to perform the job successfully.



 



The incumbent must have a Master’s degree in accounting or finance plus at least 3-5 years of financial and grant production experience, preferably in a university or research setting.  The ideal candidate would have outstanding written and verbal communication skills, experience in managing and training others, be comfortable working independently and in supervising a small team, and be comfortable setting deadlines and balancing competing priorities.  Preference will be given to candidates with an underlying science degree or background and with demonstrable skills in science writing and/or editing.  This experience should be highlighted on the resume.



 



Proficiency with MS Office and Abode Suite required.  Familiarity with Banner, PeopleAdmin, grants.gov or ASSIST strongly preferred.

Financial Management



 



Manage all Banner accounts assigned to CDD.  Timely reconciliation of all Banner accounts, including identifying and completing processes for required and necessary budget adjustments.  Creation of efficient budget projection system and reports to be used by CDD Management Team for financial planning purposes.  Collection of all outstanding funds and settlement of all outstanding expenses so that all annual budgets are balanced within acceptable deadlines.  Attend routine and special meetings with Assistant Director to provide updates, suggestions and financial reports.

Grant Management



 



Coordinate with off-site collaborators for timely submission of drafts and final grant documents.  Assist Assistant Director with grant applications, including preparing digital applications through COEUS (or current NU grants submission portal) and act as addition contact person for liaising with ORAF.  Create and update template grant materials for equipment, facilities, resource sharing plans, etc.  Oversee compliance with NIH public access policy, including updating publications in biosketches and grant materials for PMC and PMID numbers, FCOI completion and renewals and training new scientists and PIs on compliance requirements.  Support scientists in grant writing, including organizing collaborator meetings, keeping and distributing meeting minutes, and setting and monitoring draft deadlines.

Staff Management



 



Manage and oversee production from all work study students and temporary employees who assist with either grants production or financial management to maintain the highest level performance possible.  Review all projects for completion and for accuracy on a timely basis to ensure projects are completed correctly and timely.
