Human Resources and Office Administrator:

The Human Resources and Office Administrator is responsible for supporting Human Resource services, primarily in benefits administration, recruitment, employee onboarding/offboarding, payroll processing and submission to third party payroll processor and a variety of general administrative Human Resource tasks. This person will also be responsible for the processing of accounts payable and accounts receivable, coordinating charge back billings to various affiliated entities, as well serving as the point of contact with our IT service provider. Other duties will include responsibility for office matters, including IT and general operations. This position will report directly to the Controller.

Benefit and Leave Administration:

  • Administer and coordinate the day-to-day processing of benefit programs including new employees, changes, terminations, keeping all tracking and recording up to date.
  • Interpret, assist, and advise employees and managers regarding leave management, benefits, HR procedures and policies within specified guidelines.
  • Coordinate open enrollment, acting as the administrator and liaison with the benefit providers, providing timely information as requested and managing enrollment form processed for all employees.
  • Conduct orientation for new employees including assistance with signing up for benefits and processing of enrollment forms
  • Serve a point of contact with benefit vendors/administrators.
  • Reviewing, approving, and processing payables including invoices, employee expense reports etc.
  • Preparing and processing receivables including customer invoices.
  • Oversee all affiliate charge back billings and revenue source documents.
  • Review checking account daily and post all payments and receipts to the general ledger.
  • Print checks and initiate online EFT authorizations for various administrative vendors.
  • Point of contact for third party payroll processor including, preparing biweekly payroll reports, and posting payroll to general ledger.

Recruitment Assistance:

  • Assist with recruitment process for all open positions such as posting jobs, screening applications, scheduling interviews, following up with candidates, and drafting and sending job offers.
  • Ensure job descriptions and postings are up to date and accurate; create job postings from job descriptions and maintain records of the postings.
  • Post openings through multiple sources including the internet utilizing social and professional networking sites to identify and source candidates.
  • Perform employment verification and reference checks on selected applicants.
  • Manage and process all new hires and exit paperwork, retain proper and accurate HR files on all employees.

Data Entry:

  • Reviewing, approving, and processing payables including invoices, employee expense reports etc.
  • Preparing and processing receivables including customer invoices.

Office Administrator

  • Answer phones and coordinate office management activities.
  • Interface on IT related issues including monitoring service tickets, escalate issues as needed. Initiate bi-monthly meetings to discuss service quality and ongoing projects.
  • Reload postage meter funds.
  • Register guests with building security.
  • Monitor and reorder office supplies as needed.

Term of Employment: Part- time (20 -30 hours per week). Boston based. Hybrid-remote.

Compensation: $25/hour--$30/hour

Requirements

  • Associate degree in human resources, bookkeeping, or related field. Bachelors degree preferred.
  • 1-3 years Human Resource experience, including payroll processing, benefits management, etc.
  • 1-3 years Bookkeeping experience.
  • Familiar with Massachusetts Paid Family Medical Leave (PFML) and other Federal or MA programs
  • Familiar with accounting systems (such as QuickBooks)
  • Medium proficiency with MS Excel, and experience with formulas, etc.
  • Command of verbal and written English
  • High attention to detail
  • Able to analyze and synthesize data.
  • Able to learn on-the-job with increasing independence.
  • Punctual, organized, resourceful and flexible.
  • Ability to work independently, efficiently, and proactively on multiple projects.
